Who we are
WasteTrace is a trading name of SurgoTech Solutions Ltd, a company registered in England and Wales (company number 16857943), registered office at 8 Rockingham Drive, Washington, United Kingdom, NE38 8BF. We are registered with the Information Commissioner's Office (ICO), registration number ZC167948.

What this policy covers
This policy covers wastetrace.co.uk and the "Join the waiting list" form, which is the only place this website collects personal data today. The WasteTrace app is not yet publicly available; once it launches, its own data-handling practices (waste record photos, signatures, GPS and similar) will be covered by an updated policy before that data is collected.
What we collect
When you join the waiting list, we collect:
- Your email address (required)
- Your company name, if you provide it (optional)
- Your fleet size, if you provide it (optional)
We don't use cookies, analytics or advertising trackers on this site. Our hosting provider, Amazon Web Services, may automatically log standard technical data such as IP address, browser type and access times, as is normal for any web hosting infrastructure.
How we use it
We use waiting list details to let you know when early access opens, to get in touch about onboarding as a beta partner, and to understand roughly how many vehicles and firms are interested ahead of launch. We rely on your consent, given by submitting the form, as our legal basis for this.
Who we share it with
The waiting list form is processed by Web3Forms, a third-party form-to-email service, which forwards your submission to us by email. Web3Forms may store your submission for a limited period under its own privacy policy before deleting it. We don't sell your data, and we don't share it with anyone else for marketing purposes.
Web3Forms may process data outside the UK. Where that happens, we rely on the safeguards set out in their own privacy policy to keep your data protected to UK standards.
How long we keep it
We keep waiting list entries until the beta launches, at which point we review the list and delete or anonymise anything we no longer need to contact you about early access.
Your rights
Under UK GDPR, you can ask us to:
- Confirm what personal data we hold about you, and get a copy of it
- Correct inaccurate data
- Delete your data, or restrict how we use it
- Stop using your data for a particular purpose, including withdrawing consent at any time
- Provide your data in a portable format
To exercise any of these, email wastetrace@surgotechsolution.co.uk. If you're not happy with how we've handled your data, you can also complain to theInformation Commissioner's Office.
Children
This site and waiting list are for business use by adults working in the waste carrier industry, not children.
Changes to this policy
If we change how we collect or use your data, we'll update this page and change the "last updated" date above. Significant changes will be reflected here before they take effect.
